Self employed Sales Receipts Analysis Accounting Spreadsheets

The sales bookkeeping spreadsheet is used to record the self employed income. The format of the accounts spreadsheet has columns to enter the sales date, customer name, description of the type of sale which is optional, the sales invoice number if applicable and the total amount invoiced.

For vat registered businesses the vat output tax on sales is calculated and automatically entered in the vat column. If the vat rate changes simply change the vat percentage at the top of the vat column. For non vat registered business simply change the vat rate to zero and no vat calculation is performed.

The green shaded column contains a formula to automatically calculate the vat on gross sales values entered. Flexibility built in as by changing the 17.5 to zero the vat is disabled enabling the Accounting Software to be suitable for both vat registered and non vat registered businesses.

The final two columns of the sales excel spreadsheet are for sub-contractors use only to record the amount of CIS tax deducted and the certificate reference number and can be ignored by sole traders who are not sub-contractors. 

What happens to the sales and income received entered? 

The sales accounting spreadsheet totals each column for each book keeping month. The totals of each sheet are then collected by the accountancy software to complete the simple book keeping system by automatically producing the vat returns, monthly profit and loss account and self assessment tax return to complete the self employed book keeping system. The sales mileage, if recorded - it is optional - is also automatically transferred to the purchases  excel spreadsheet which adds the sales mileage to the purchase mileage and calculates the mileage allowance. Mileage allowances are 40p for the first 10,000 miles and 25p thereafter and an alternative to claiming vehicle running costs including vehicle capital allowances on the fixed asset spreadsheet. This accountancy software will automatically claim 40p and change to 25p when applicable, users only have to enter the mileage covered.
